Approve private-label frozen food artwork against a defined product, destination market, pack and file version before releasing the print job. The approval should identify who checked the food information, who confirmed the printer’s technical requirements and which exact file may be printed. Name the file, revision and pack reference in the approval.
Begin with the approved product and packing information, then compare the artwork, proof and release record. Resolve missing wording, conflicting versions and production questions before authorising the affected print run. Keep later checks of printed film, coding and filled packs in the plan; a PDF review cannot establish every property of the finished package.

Agree that division of responsibility early, especially when the designer, importer, printer and packing facility work in different organisations.
Fix the product, market and pack brief
Create one brief for the job before the designer starts revising the artwork. Include the product name and form, specification reference, destination market, required languages, consumer pack size, outer carton arrangement and intended sales channel. Identify the brand owner and the person authorised to approve the finished wording. Where several markets share a design, list each intended market explicitly.
The packing brief should identify the proposed material and pack construction, the working dieline supplied for that configuration and the party responsible for confirming it. A file made for a previous bag size may look plausible on screen while belonging to a different production setup. Treat a change of pack dimensions or construction as a reason to review the artwork fit again.

One organisation may perform several roles, but the release record should still distinguish the decisions. A designer’s correction of a spelling error does not establish the source of a nutrition value. A printer’s technical acceptance does not confirm that a marketing claim is allowed in the destination market.
Agree how questions will be returned and who will consolidate the answers. Several reviewers commenting on separate copies can leave the designer with competing instructions. Use one current comment register, identify the owner of each open point and carry unresolved items forward until someone with the relevant responsibility closes them.
Check the words against approved product data
Read the artwork as a description of the food that will actually be packed. Match the product identity, form and preparation state to the approved specification. Check every panel, including small text near the seal or on the reverse. A correct front name does not compensate for a copied ingredient line or an outdated storage instruction elsewhere.

A photograph of whole blueberries can illustrate a whole-fruit product, but it cannot establish ingredients, nutritional values, origin or suitable preparation instructions. Confirm which product image is approved for the particular pack. Review a serving suggestion with the responsible market reviewer if the image includes ingredients or a prepared use beyond the contents of the bag.
Build a text register beside the artwork: each field, its approved wording, the source reference and the reviewer. Include the net quantity and unit, ingredient and allergen information, date and storage wording, responsible-business details and other fields that apply to the destination. Mark items that require confirmation instead of filling the space with text from an unrelated pack.
As one jurisdiction-specific example, the UK government’s food-labelling overview describes mandatory information and presentation requirements for covered foods. Check the applicable presentation rules alongside the approved wording. Use the current rules for the actual market and product; this article’s working register is not a universally compliant label template.
For products subject to U.S. FDA allergen labelling, check the relevant allergen food-source information against the formulation and facility inputs. The FDA’s allergen guidance overview also explains that advisory statements must be truthful and do not replace good manufacturing practices. A generic “may contain” line should not be added merely to close an unanswered question about the product.
For a proposed nutrition, organic, origin or other product claim, identify what supports it, which goods it covers and who accepts its use. Where the evidence is missing or does not cover the proposed product, return the claim for a decision before print release.
Check translations against the approved meaning, including units and preparation wording. Ask the responsible language and market reviewers to resolve ambiguous terms. Retain their accepted text so a later designer’s layout change does not accidentally restore an earlier translation.
Keep SKU and language versions distinct
A consistent brand range often uses a shared layout. Keep the shared visual elements separate from the fields that belong to each SKU: product name, food image, net quantity, ingredients, claims, storage and preparation text, product identifier and artwork reference. Review the completed SKU on its own as well as beside the range.

Sweet corn kernels are a separate product identity. A shared brand layout still needs the correct SKU-specific text, image, quantity and code references.
Consider a hypothetical range containing whole blueberries and sweet corn kernels. The designer copies the approved blueberry layout to create the corn pack, changes the front photograph and title, but leaves the reverse-panel product description unchanged. A front-only approval could miss the error. A SKU-by-SKU check of both panels against the text register makes the mismatch visible.
The same problem can arise between two pack sizes of the same product. Give each file a distinct job reference connecting the SKU, pack, market, language set and revision. Include that reference in the proof request and approval record, even if it is not part of the consumer-facing design.
For a multilingual pack, check that the approved language set is complete on the actual proof. Review how the added text affects the available space and the corresponding panels. Avoid solving a crowded layout by reducing important text without the market reviewer and printer checking the result.
When one revision applies across a range, list the affected SKUs rather than assuming that a change to the master file updates every derivative. Keep a simple completion status for each artwork. A correction accepted for one language or size should reach the relevant final files before those jobs are released.
Review the layout on the formed pack
Review the design at the intended print size and on the proposed pack construction. Identify the front, reverse and other relevant panels, plus the areas affected by seals, folds or the closing arrangement. Check where the product name, required information and reserved coding space will sit after the film is formed. The packing and printing parties should confirm the production geometry.

Use the current working dieline from the responsible provider. Record its reference and confirm which lines and layers are production guides rather than printed artwork. Ask the provider to specify its requirements for safe areas, bleed and other technical allowances. Put the provider’s specified allowances in the approval brief.
Esko’s packaging prepress overview distinguishes preparing a design for production from creating the design itself. Its discussion of dielines, proofing and print preparation supports involving the printer before final release. Resolve a proposed panel or colour change with that provider, then return any change affecting approved food information to the appropriate reviewer.
Have the printer or prepress provider check the delivered PDF against the agreed job settings. Adobe’s Preflight documentation describes checks involving fonts, colour, transparency, image resolution, ink coverage and PDF compatibility. A clean result under one profile only answers the checks included in that profile. Retain the applicable settings and any accepted exceptions.
Agree the print colour reference with the provider. If an output intent is specified, confirm it with the provider: Adobe explains that it describes intended reproduction conditions and does not itself convert the PDF’s colours. Agree how brand colour will be assessed for the actual material and printing process instead of approving it from an uncontrolled screen view alone.
After a technical correction, inspect the resulting file again. Check that text has not moved into a seal area, an image has not covered a required field and the coding patch remains where the packing party expects it. Retain the revised proof beside the comment that prompted the correction so reviewers can see what changed.
Check barcodes and variable coding separately
Confirm the product identifier and required barcode type with the responsible brand owner or customer system. Connect that identifier to the exact SKU and pack size in the artwork register. A correctly drawn symbol containing the wrong product identifier still creates an order and receiving problem. Keep human-readable product references and encoded data consistent where they are required.
For 2D retail applications, the GS1 implementation guideline treats data, sizing, print quality and the material as connected considerations. It discusses appropriate quiet zones, contrast, reflectance and symbol uniformity, and recommends verification against the applicable standards. Use the requirements for the actual symbol and application; a casual successful phone scan is not a substitute for a defined print-quality verification.
If a 2D code leads to online content, test that destination separately. GS1 explicitly distinguishes barcode verification from checking the web experience. Confirm the correct product page, intended language and responsible owner of the linked content. Do not assume a readable code establishes that the destination is accurate or ready for the consumer.
Separate fixed artwork from information added during production, such as lot or date data. Define the reserved area, expected content, source of the data, responsible coding party and the sample or record used to review the result. A blank rectangle on the artwork confirms a planned location; it does not show that the actual production code will be correct or legible.
Ask when the variable information becomes available. Where a 2D implementation includes changing data, the GS1 guideline notes that this can affect whether the code can be preprinted or needs production-stage application. Resolve that question with the relevant system and packing providers before treating the artwork as complete.
Review the proposed date format and associated wording with the responsible market reviewer. Check how the customer will interpret the code and how it connects to the lot record. Do not place a real-looking expiry date into a design mockup and allow it to travel unnoticed into the production file.
Include the outer carton in the coding discussion. Its product description, pack count, marks and identification should connect to the inner SKU and order records. Decide which information is preprinted and which is applied later, then assign the check at the stage where that information actually exists.
Match the proof to the decision
State what each proof or sample is intended to confirm before asking for approval. A digital proof, printed film and a filled sample expose different parts of the packaging. For our retail and private-label projects, we identify which decision each proof or sample supports.

Ask whether a proposed proof is representative of the final material and process for the decision being made. If it is only a layout mockup, identify it that way. If a colour decision requires a particular proofing basis, agree that basis and the reference retained by each party. Avoid a broad approval statement when the sample only supports a narrow check.
Record observations precisely: the file or sample reference, the area reviewed, the discrepancy and the required correction. A photograph can help locate a layout issue, but an uncalibrated phone image may not be a reliable colour reference. Use the method agreed with the printer for a colour dispute.
Review packaging performance against the agreed distribution conditions. A well-presented sample does not by itself establish moisture protection or seal integrity over the intended distribution conditions. Carry any required performance approval into the order plan without describing it as something the artwork review has already proved.
Release one version and control later changes
Check the final file against the accepted text register and latest comments, reviewing both corrected areas and the rest of the artwork. Confirm that the printer holds that same revision. Keep superseded files outside the active production handoff and make their status clear to everyone using the folder.

A practical release record identifies the SKU, pack and market; the final filename and revision; the associated proof; the approver and approval date; the authorised print job or quantity; and any conditions that remain. Retain the file itself with the decision. A filename such as “final-final” is weak evidence when several attachments carry similar names.
Before releasing the affected job, check that:
- The approved product and packing references match the artwork.
- The required content and language reviews are complete.
- The printer’s corrections have reached the reviewed final file.
- Barcode data, coding responsibility and any later verification steps are defined.
- Open issues have a clear disposition and no unresolved condition prevents print release.
- The printer has acknowledged the exact file and job authorised to proceed.
After approval, route changes through a new review. Identify what changed, why, which SKUs and orders are affected and whether printing has started. A revised ingredient statement, quantity, barcode or pack dimension may affect several earlier decisions. Ask the relevant reviewers to assess the change and issue a new release where required. If the change affects a job already released, contact the printer promptly and confirm the status of that job. Hold the affected work where the previous approval no longer applies until the responsible reviewers authorise the revised version.
If printed packaging already exists, identify the affected stock and prevent an unapproved version from being used while the responsible parties decide its disposition. Record the decision for stock at the printer, packing facility and any other relevant location. Do not assume that uploading a revised file removes earlier material from the production route.
For a repeat order, compare the retained approval with the current product, market, pack and production requirements. Confirm whether anything has changed and which reviews need renewal. Link the accepted artwork reference to the current order and documentation handoff so product names, quantities and marks remain consistent across the shipment records.
