Place a temperature logger according to the environment you need to observe, then record exactly where its sensing element was installed. A device monitoring air around a frozen-food load answers a different question from one inside a carton beside a sealed product pack. Neither location automatically measures the centre of the food or represents every part of the shipment.
A useful placement plan connects the monitoring purpose, load arrangement, device configuration, installation evidence and retrieved file. Agree those connections before loading. The number and positions of loggers should follow the defined monitoring task and the evidence needed to justify the chosen arrangement; there is no single portable-logger layout that covers every frozen-food shipment.
Define what the sensor should observe
Write the monitoring question before choosing a location. You may want to observe the air near a specified part of the load, the environment inside an identified carton, or a defined sensing point associated with product. You may instead need the refrigeration unit’s operating record. These are related records, but their names should not be used interchangeably in a shipment instruction.
Describe the target in words that the installer and reviewer can both apply. “Monitor the environment inside the identified carton, outside the sealed food bag” is more precise than “monitor product temperature.” If a particular food-contact measurement is required, it needs a suitable device and an approved hygienic procedure. An ordinary portable recorder should not be put in contact with food simply to make a vague instruction seem complete.

The Codex quick-frozen food handling code distinguishes the sensing element from the readout or recording system and discusses small recorders placed between packages or within a load. With an external probe, the probe position defines the sensing point; the position of the device body alone does not identify what was measured.
Also define the period of interest. Does the record need to begin before loading, continue through transport and cover the receiving handoff? State the intended start and end events. If the logger will follow only one pallet after the shipment splits, name that pallet and the part of the journey its data will describe.
Map the load before choosing routine positions
Obtain the actual container or vehicle type and proposed load arrangement. Identify the product forms, carton and pallet configuration, equipment air-delivery system and unloading sequence. A drawing copied from a different vehicle or packing format cannot establish that a point in the new load observes the same environment.
Mark orientation clearly. Define which end is nearest the refrigeration machinery, which end has the cargo doors, and how left and right are described. If the monitoring brief uses terms such as middle layer or rear pallet, connect them to the actual arrangement. A location description should remain understandable when someone reads it after the cartons have been unloaded.

Separate a mapping exercise from routine monitoring. Mapping investigates how conditions vary across a defined arrangement; routine placement uses a justified set of observation points for an agreed purpose. If you have no suitable mapping or other supporting evidence, record that limitation and ask the responsible technical team what assessment is needed. Adding more unplanned devices does not resolve an undefined question.
A 2021 fresh-strawberry study by Abdella and colleagues identified sensors by the pallet’s location and the sensor’s vertical level. Its records also show missing channels and different recording periods. The useful lesson here is to preserve position and coverage information. This was a fresh-strawberry research arrangement, not a validated placement plan for frozen mango or other frozen cargo.
Keep candidate locations and approved routine locations distinguishable on the plan. A point selected to investigate an uncertain area has a different status from one already accepted for a repeat shipping program. Record who reviewed the basis for each location and what changes would require that basis to be reconsidered.
Resolve wall and carton placement advice by purpose
Advice to put a recorder near a rear wall and advice to place it inside a carton can appear contradictory when the intended measurement is omitted. Sensitech’s sensor-location discussion describes rear-trailer air monitoring as a way to observe operational changes. That is a particular monitoring purpose, rather than proof that the same position gives the best evidence for every product question.
The UF/IFAS refrigerated transport handbook warns that direct wall placement can introduce thermal effects from the wall into a nominal air record. It also describes different air-delivery systems and ways to identify recorders within the load. These details are reasons to specify the target, equipment and attachment method before adopting a location recommendation.
Ask what the actual sensing element touches and what surrounds it. Is it exposed to moving air, enclosed within packaging, pressed against a surface or separated from the device body by a probe cable? A photograph of the blue case on a wall may not show that an external sensor is positioned somewhere else. Conversely, a case containing its own sensor cannot be assumed to measure a remote carton.
State the observation honestly. A recorder beside a sealed pack can provide information about that local environment; it does not become a food-core probe because it is inside the outer carton. A recorder selected to reveal door-area events can be useful for that purpose without describing the temperature of all goods deeper in the load.
Agree the mounting method with the responsible installer. It should retain the planned position under the expected handling and conditions without damaging the product pack or interfering with the equipment’s air path. Where the manufacturer specifies a protective enclosure, holder or probe arrangement, check that the installed configuration still matches the intended measurement.
Check the device and record its configuration
Identify the model and serial number of each logger before assigning it to a shipment position. Check that its specified operating range, environmental protection and measurement capability suit the intended use. Retain the relevant calibration or verification reference. A readable serial number in the shipment file makes those equipment records attributable to the device that actually travelled.
Confirm the recording interval, start method, any delay, memory behavior and planned recording duration. For reusable devices, establish that prior data have been retained before preparation for a new trip. Check battery status using the method specified for the device, and confirm the manufacturer-supported operating duration for the planned configuration and expected conditions.
LogTag’s configuration documentation provides a useful manufacturer-specific example: start options vary by model, and continuous recording can overwrite the oldest observations when memory fills. Other settings stop after a defined number of readings. The selected interval therefore needs to be reviewed together with capacity and the required recording period.
Keep the approved configuration with the placement record rather than relying on a recollection of the software screen. If a device was substituted, record the replacement identity and check its settings. Copying a position label onto another model does not confirm that its timing, storage behavior or measurement characteristics are equivalent.
Set alarm rules separately from sampling frequency. A logger’s alarm status reflects its configured logic and available observations. The buyer’s product acceptance requirement has its own scope and decision process. Avoid a shipment instruction that treats any green display as an unconditional release decision without identifying the rule behind it.
Confirm when useful recording actually starts
Assign responsibility for activation and verification of recording status. Record the activation event and the device indication observed, using the manufacturer’s instructions. “Logger placed” should not be the only entry on the loading form: a device can be in the intended carton while still waiting for a scheduled start or an enabled delay.

In the illustrative timeline, button activation precedes the first recorded observation because a start delay is enabled. That behavior is not a rule for every model. The device’s configuration and operating instructions determine whether there is a delay, whether pre-start data exist and how such data appear in the final report.
Compare the intended recording period with the actual first and last observations once the file is retrieved. If the first reading occurs after the required loading event, identify the uncovered period. Do not relabel the activation time as a measurement or imply that a later record establishes what happened during a gap.
Record the time basis before the devices leave. Specify the time zone or UTC convention used in the configuration and how the report displays time. Keep original timestamps when converting a review copy. If there is uncertainty about a clock setting, retain that uncertainty in the comparison instead of aligning events by appearance alone.
Assign the end event just as clearly. The logger may need to continue until a defined receiving check or until an identified pallet reaches storage. Stopping it as soon as the doors open can omit a handoff that the monitoring brief intended to include. The receiver should have the instructions before handling or returning the device.
Document the installed position and the goods it follows
Use both a close view and enough surrounding context to identify the actual location. The close photograph should make the device reference readable and show the sensing arrangement. The wider view should establish where the relevant carton or pallet sits within the load. Store those photographs under the same shipment and logger reference.
For a sensor inside a carton, document its relationship to the product pack before closing the carton, then identify that carton from the outside. Keep the food-contact packaging intact unless a separately approved measurement procedure requires otherwise. Make the recovery mark clear to the receiving team without obscuring required product or traceability information.

The illustrative reference L-7 connects a device, placement photograph and file. It is deliberately an identity example, with no measured temperature or claimed shipment result. In a real record, link the device serial number to the lot, product, carton or pallet, container and installed position. A convenient short label should point back to that complete identity record.
Record deviations from the plan while the load is still identifiable. If the nominated carton was moved, replaced or placed on a different pallet, update the installation record and obtain the necessary review. Preserve the original plan as the proposed arrangement and the photograph or sketch as evidence of what was actually installed.
Prepare for a split delivery. State whether the logger remains with a named pallet, moves with a defined product group or stops at the first receiving point. If it is moved during the journey, record the time, new environment and responsible person. The resulting file may contain more than one sensing context and must be interpreted that way.
Use a placement record that survives the handoff
The following fields form an illustrative placement record. They are intended to keep the monitoring question attached to the resulting evidence, not to prescribe a particular device count. Agree who completes each part and where the final file will be stored. A receiving colleague should be able to identify the device without access to the installer’s personal photo collection.

Do not leave the last row until arrival. Confirm that the receiver has the necessary software, access rights or reader, as applicable, and knows the original file format expected. If a third party provides the download, name that party in the brief and establish how the buyer receives the file and its device identity.
Retrieve the logger and preserve the original file
At receipt, locate the identified device before its carton or pallet is discarded, mixed or sent onward. Check the recovery location against the installation record. Note a missing, displaced, damaged or unexpectedly stopped device as an exception. A recovered recorder without a reliable location history leaves a different evidence gap from a recorder that never produced a file.
Save the original export and a readable review copy, preserving the device identity, configuration and timestamps available. Record the actual data period and any missing intervals. Keep processing such as time conversion, annotations or event markers in a documented review copy. A cropped chart can help discuss an event, but the underlying file should remain available.
Keep the independent record distinct from the carrier’s equipment data. For example, Hapag-Lloyd’s monitoring flyer lists named channels such as set point, supply air, return air and power state. The relevant carrier must confirm what data are available for the actual booking. An equipment report does not identify a separate L-7 device unless that relationship is documented.

Where the record raises a receiving concern, retain the agreed inspection and assessment process rather than converting a logger alarm into an unexplained shipment verdict.
Review placement when the shipping arrangement changes
A repeated route name does not guarantee a repeated sensing environment. Review changes to the product form, inner pack, carton, palletization, load quantity, vehicle type, air-delivery system, handoff sequence and device model. State which assumptions supported the previous placement and whether those assumptions still apply.

Confirm the new configuration before assuming that a position used for one order remains appropriate for the next.
Retain the reason for keeping or changing a routine location. If the technical team decides that further mapping or a trial is needed, define its question, conditions and review criteria before execution. Record any remaining limitation in the monitoring brief. The result should be a placement instruction that someone can install, another person can recover, and a reviewer can interpret from the saved evidence.
